Add New Advt. Accepatance Form (AAF) Entry Add Advt.Accepatance Form Entry

To add new Advt. Acceptance Form record give Menu Command Advt. Acceptance Form Record. A window will be displayed for Advt. Acceptance Form Record Entry. To add new AAF Record press command button Add Record . The various data field of the AAF record will become empty so that you can enter a new record and heading of this command button will be changed as Update Record .
The various details about the AAF can be typed in the text boxes which are labeled accordingly. These data fields or text boxes are bound to the Data Control linked to Advertisement information database. As you will click one of the four buttons on the data control you will see the text displayed in the bound text boxes change accordingly. If you are not interested in using the Advertiser you should still set up one Advertiser using the publication / edition name for use in rate record and AAF. Advt.
AAF has two parts. First part is The AAF header and it contains the AAF no., date, party details, advertisers details, representative details etc. This part is linked to data control marked AAF Headers . Second part contains the AAF item details. One aaf can have more than one AAF item. The AAF contains the various information about the advertisement like rate applied, insertion date, various details about the advertsiement including size or number of words. This part of AAF is linked to data control marked AAF Item Details .

After you filled in the details for AAF headers you can fill in the AAF item details by clicking the tab marked AAF Details I. Here you can fill the details like applicable rate, premium etc. To fill in the rate select a rate combination as defined in Rate Record . When you select the rate combination by either entering the codes or by selecting publication, edition, combination, Advt. Type, Position and select the agent name as in AAF Headers then the applicable rate and the other details are fetched from the rate record automatically.

You can fill in other details about this AAF items by click by clicking the tab marked AAF Details II. These details are Advt Size or number of words, Advt. caption, Special Instruction, Chargeable Amount, Commission etc.
If you want to add on more AAF Item (One Booking has two Advertisement to be printed) press command button marked Add Item. If you are adding only one item then you do not need to press ADD ITEM. Press Update Record to update this record.
To move from one text box / field to another use Tab and Shift Tab keys help you to move upward direction on the keyboard or use mouse.
When you have finished entering the record then press command button Update Record. A message will be displayed " Do You Want to Save The Current Record ?", press lquote Yes' to save the entered record or press No to abort. You can enter another record or do something else. To save your record automatically Tick check box Save All Changes Automatically.
To add another record again press command button Add and follow the above steps. To close Advertiser Record press command button Close.
