When the AAF is made booking of the advertisement is done. After the advertisement is booked it is prepared for publication and actually published. The day the advertisement is published Daily Page wise Statistics have to be prepared. DPS (Daily Page Statistics) are prepared to ensure that all advertisements that are published are actually booked and the advertisement space actually printed in the publication is equal to the advertisement space booked. In DPS another person of the staff will calculate the space used by advertisement by actually measuring it with ruler. It will be cross checked against the space booked in all entries of AAF for the day.
Therefore, until the DPS is entered the AAF can not be confirmed. Until AAF is confirmed advertisement bill can not be prepared. To confirm the AAF first fill up Daily Page Wise Statistics for each page for the day. After filling up the DPS give menu command Confirmation of AAF to confirm the AAF. The AAF window will open with the tab marked Confirm / Cancel showing up. You may select the AAF period or date in the two date fields and press command button marked Accept AAF Period to apply it. Now fill in the insertion date in frame below. Insertion date is the date the advertisement is printed. Press command button marked List AAF to list all the AAF for the insertion date. When you click the AAF item in the grid then the item will be displayed for edit. If you double click the AAF no in the grid shown below then the AAF will be displayed and command button marked Comfirm AAF will be pressed and its caption will change to update so that you can edit the AAF item. Various fields that you need to fill in while confirming the AAF include actual col., actual cms, actual size (as was actually printed), size charged and page number on which the advertisement is printed. Check the check box marked Confirmed to confirm the AAF. This way you can confirm all AAF items in all AAF.
Once you have confirmed the AAF the advertisement bills for the day can be prepared.
